The Human Resources Coordinator is responsible for providing administrative support for the Academy’s Human Resources department and demonstrates excellent customer service and confidentiality in the conduct of all job responsibilities. In this role, you will be the team’s first contact for employees by supporting on-site needs and processing the general HR inbox, and by welcoming employees on their first day of work. This position requires understanding and application of Academy rules, laws and policies to support human resources department initiatives.
This is an on-site position, on campus in San Francisco.
Onboarding & Offboarding Support
• Review all HR and Payroll paperwork with new employees; ensure accurate and timely completion of all such paperwork; provide new employees with information on receiving first paychecks.
• Process onboarding paperwork to ensure timely completion of Workday action items and provide Payroll with necessary documents to process in their ADP system.
• Review and monitor the I-9 Everywhere portal to ensure all staff I-9 documents are completed within the required compliance time frame. Immediately download the I-9 for any staff or student worker who is an alien authorized to work and send to the Manager and Director of Human Resources who will confirm that the individual is authorized to work for the Academy.
• Manage the offboarding process when an employee exits. Coordinate with the IT and Payroll teams to ensure prompt completion of final checks and return of company property.
Employment & Retention Support
• Prepare and copy personnel files at the request of Human Resources Management to respond to internal and external employee file requests.
• Partner with Lead Generalists on non-standard ergonomic requests to ensure they are handled through the work accommodation process.
• Respond to unemployment inquiries on a timely basis.
• Process employee personal information changes in relevant systems such as Workday; guide employees and managers to submit their own changes and requests via self-service in Workday.
• Respond to employment verification requests as needed; answer routine inquiries from inside and outside the Academy regarding employment verifications and refer requestors to The Work Number.
• Update organizational charts when employees enter, exit, or change roles at the Academy.
Department Administrative Support
• Provide on-site coverage for the HR Department, either by resolving or raising up walk-in employee needs.
• Daily processing of all incoming mail and distribution to appropriate teams.
• Maintain all employee personnel files, benefit files, confidential files and termination files. Ensure all employee documents are filed appropriately and in a timely basis.
• Oversee the annual labor poster posting process to ensure the applicable year’s posters and notifications are posted in the required Academy buildings.
HR Compliance
• Ensure employees are properly informed of their rights, company policies and procedures in a timely manner.
• Maintain confidentiality regarding disclosed health matters and protected health information in compliance with HIPAA regulations.
• Must understand and appropriately apply rules, laws and policies to support the Human Resources Department.
• Participate in annual audits for all active personnel files to ensure all required documents are on file.
• Participate in annual audits for all active I-9s to ensure compliance.
Compensation:
$24.00 to $27.00 per hour
