Service Dispatcher 


We are currently looking for an outgoing and dependable individual to join our team as a service dispatcher and admin assistant to the service director.  

The Service Dispatcher and admin assistant plans, organizes, leads and controls the flow of service work through the service department in a professional, timely manner while ensuring quality repairs at a fair cost to the customer. 

This person should be very organized and have great communication and time management skills.

Responsibilities 



  • Greets all customers entering the service area with a friendly, professional attitude, answering any questions and/or directing them to the appropriate person or location

  • Assisting the Parts and Service Director.

  • Schedules shop work to facilitate maximum productivity in accordance with dealership policy and the technical skill level required

  • Ensures proper repair order documentation, i.e., complaint, cause and correction noted on every repair order with punch time for each operation

  • Prepares estimates when required

  • Prepares a list of needed service department equipment, supplies and required repairs, and reviews with the service manager as needed

  • Reviews hard copies of repair orders turned in by technicians to ensure that assigned work has been performed and the repair order has been completed properly

  • Coordinates questions and issues with the appropriate department personnel

  • Manages communication, such as phone calls and messages for the department

  • Provides clerical support, such as typing, filing, copying, data entry, and record keeping

  • Assists customers with as needed, including questions, payments, paperwork, etc.

  • Assist with timecards and punch times.

  • Performs other duties as assigned





Requirements


· Strong organization skills, able to multi-task, and can manage time to meet frequently changing deadlines in a fast-paced environment


· Administrative experience a must.


· Dealership experience a must


· Knowledge of manufacturer warranty claims procedures.


· Highly professional and dependable


· Helpful attitude and friendly demeanor


· Productive with minimal supervision


· Strong scheduling and organizational skills


· Strong computer and internet skills, including Microsoft Office suite


· Unrestricted driver’s license and clean driving record


· Neat, clean, and professional appearance


· Dependable and focused on great customer service
