Role Summary:
Under the supervision of the Associate Director of Human Resources, the HR Administrative Assistant supports HR needs with a focus on administrative duties. HR Admin Assistant manages personnel records and file maintenance, prepares information for audits of personnel records and policies, and provides support in all aspects of human resources.
Essential job duties:
- Prepare, manage and maintain employee files and other personnel files (such as I-9).
- Make photocopies; mail, scan and email documents; and perform other clerical functions.
- Assist or prepare correspondence as requested.
- Facilitate onboarding of employees, including generating conditional job offer letters, conducting background checks, and collecting all required HR documentation.
- Reconcile invoices from HR-related service vendors and generate check and credit card requests.
- Update Employee Status Forms (ESFs) and forward any changes of an employee’s employment profile to appropriate staff
- Assist daily administration of HR online platforms, i.e ADP, Relias and Trakstar.
- Track and document training compliance in a timely manner, and ensure all employees remain current on training, vaccinations, and licensure as required. This may include, but not limited to, MediCare Fraud checklist, safety training, anti-harassment training, professional licensure, and certifications renewals.
- Process Verification of Employment requests.
- Help with semi-monthly payroll processing
- Assist completing Annual Compensation Surveys
- Assist HR team members and leadership with certain agency and/or HR projects.
- Foster an environment that promotes trust and cooperation among SFCHC staff, non-staff and outside partners.
- Participate in staff meetings, SFCHC committees, and other SFCHC events, as required.
- Perform other duties as assigned.
Minimum Qualifications:
- Associate’s degree and at least two years of administrative experience in the field of Human Resources, office administration, and/or Operations or equivalent combination of education and experience
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to prioritize tasks.
- Ability to function well in a high-paced and at times stressful environment.
- Working understanding of human resource principles, practices and procedures.
- Advanced proficiency in MS Word, Excel, Outlook, Adobe Acrobat, database management and administrative systems (e.g. ADP).
- Proficiency with or the ability to quickly learn SFCHC’s HRIS, Talent Management Systems and Learning Management System and other online platforms.
- Excellent interpersonal and customer service skills.
- Strong analytical and problem-solving skills.
- Ability to act with integrity, professionalism, and confidentiality. Maturity and discretion in handling confidential and restricted information.
- Ability to work independently as well as a member of a team.
- Comfortable and culturally competent working with LGBTQ communities
- Ability to sit at a desk and work on a computer for a prolonged period of time.
- Ability to lift up to 15 pounds at times.
- Must obtain TB clearance (within past 12 months) and complete background check upon hire.
- Current with vaccinations including latest Covid-19 vaccine and seasonal flu, and able to provide proof.

- Experience in a multicultural/multiethnic work environment, preferably related to healthcare
- Knowledge of state and federal laws about all aspects of employment particularly in recruitment and hiring, benefits, and terminations.
- Experience with payroll and ADP Workforce Now.
