Under the direction of Administrative Management, the BHNC Office Administrator is the professional face and voice of BHNC and is responsible for making a favorable first impression for every visitor and caller engaging with BHNC. The Office Administrator refers inquiries to the appropriate departments and assists the community with navigating our resources. This position is characterized by a high degree of hospitality, organization, capacity for multi-tasking and an ability to work with a diverse group of staff, clients, community members and collaborative partners.


The Organization: Bernal Heights Neighborhood Center (BHNC) is a non-profit community based multi-service agency founded in 1978.  Our mission is “…to preserve and enhance the ethnic, cultural, and economic diversity of Bernal Heights and surrounding neighborhoods.  We promote community action to build a just and equitable community for all. BHNC focuses on the needs of people with low and moderate incomes. We work to accomplish our mission by:

  • Developing affordable housing throughout San Francisco; 

  • Providing linguistically and culturally responsive services to our community’s most vulnerable adults, seniors, youth, and their families; 

  • Developing leaders; organizing and empowering our tenants, clients, members, and allies to advocate for their needs and for the needs of the community.”  

 

BHNC has five key program areas to meet this mission: Housing Development and Rehabilitation, Senior Programs, Youth Programs, Employment Programs and Community Organizing. We serve a thousand youth, adults and seniors annually from our offices in Bernal Heights and the Excelsior. Our programs raise funds from the public sector, housing development and management, foundations, local businesses and individuals. 

PRIMARY RESPONSIBILITIES

● Welcome and greet every person via phone or in person.

● Direct visitors to the appropriate offices and services

● Support and schedule the Executive Director meeting calendar, conference room calendar and rental of the facility.

● Receive mail, office supplies and send outgoing mail and packages

● Oversee the office supply, place orders and distribute deliveries

● Maintain facility security by following safety protocols and use of Kastle protocols

● Maintain confidential database

● Assist with bulk mailings and meeting preparation

● Assist other departments as needed and participate in advocacy efforts of the

organization

● Support various program activities including food pantry at Cortland, client

assistance, brown box, special administrative projects

● Support various administrative projects assigned by the Executive Director and/or Administrative Team.

● Other duties as needed.


KNOWLEDGE/SKILLS REQUIRED BY THE JOB:

▪ Two years customer service/administrative support experience preferred

▪ Excellent written and verbal communications skills both on phone and in person

▪ Database entry experience preferred (Salesforce)

▪ Microsoft Office Suite, GMAIL Platform, Asana, Zoom

▪ A self starter who takes initiative, asks questions with sold follow-up and follow through skills

▪ History of timeliness and solid attendance.

▪ Must have a valid California driver's license with three years clean driving record.

The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.  Specific vision abilities required by this job include close vision.

Classification: Full Time, Confidential Position

Hours: Full-time, non-exempt, Monday through Friday, 9-5 with some evenings and weekends for events.
